Job Description

This position serves as the Program Coordinator for the Entrepreneurship portfolio of programs. The position will be responsible for recruiting qualified students and engaging alumni through events, marketing, and communications channels. The Program Coordinator will maintain all program databases and tracking systems for recruiting and graduates engagement. This includes the execution of the communication strategy goals set by supervisor as well as being responsible for all social media, collateral, newsletters, blogs and program websites. This position will be required to report and track statistical information on student demographics, number recruited by program, and communication analytics, etc. This position will report to the EBV/VWISE Program Manager, with additional direction from the Director of the Center of Excellence. This position will also coordinate with internal support staff, and external funders, collaborators and partners as needed.


• Bachelor’s degree required and 2 plus years’ administrative experience
• Experience in using technology for recruitment and admissions activities, including database management, report generation and general Microsoft Office experience

• Familiarly with government programs and services for veterans, families, persons with disabilities, mental health, substance abuse, housing and education issues


• Create an alumni engagement program and manage database of graduates; maintain and distribute class lists as needed; facilitate participant enrollment/participation in special opportunities.
• Attend conference/residency events to assist with on-site event management to include: coordinate participant check-in, provide information and support to participants, and provide leadership to on-site team; process program referrals and CEU registrations; mail graduate certificates and follow on resources
• Assist with the execution of an overall marketing strategy and initiatives, including presentation opportunities, conferences, social media and collateral needs.
• Assist in sourcing stories for media inquiries.
• Develop and maintain up to date website information.
• Create catalog of media from previous events to be used for future promotional opportunities.
• Maintain standardized applicant, participant, graduate and referral records on Salesforce database with appropriate documentation to facilitate the reporting of results and demographic statistics.
Develop and maintain graduate business tracking system in order to track graduates progress and businesses, as well as share success stories with external stakeholders.
• Ensure strong customer service program-wide and help build relationships with students throughout the program process to ensure consistent engagement after completion of program.
• Communicate activities, opportunities, and program success stories regularly with in-process applicants, participants, graduates, referrals and other stakeholders via email, Constant Contact, social media, and newsletters in a manner consistent with program, IVMF and University branding and values.
• Assist with program marketing and recruiting in support of the strategic goals of the Program Manager.
• Independently respond to inquiries/requests for information from accepted participants, graduates and other stakeholders via phone, email, fax, social media and in-person outreach events.
• Identify and propose opportunities to improve, streamline, automate and document processes with a particular focus on improving the participant experience.
• Maintain program standard operating procedures by writing, updating and recommending changes to admission criteria, policies and procedures.
• Maintain confidentiality of information exposed to in the course of business regarding students, supervisors or other employees
