Job Description

Position is responsible for performing a variety of professional and administrative duties that facilitate both the day-to-day operations and long-term goals of the grant-funded New York State Science & Technology Law Center. Works closely with Budget Office and Office of Sponsored Projects to organize, track, and provide guidance on grant spending. Develops, manages and executes various communications initiatives to increase awareness of the Center and execute grant-specified objectives pertaining to information and education such as monthly newsletter and Center website.


• Requires a bachelor’s degree or equivalent in communications/marketing/advertising plus 3-5 years of experience in government or higher education administrative offices.

• Proficiency in Microsoft Excel, Word, PowerPoint, and Outlook
• Proficiency in Adobe InDesign, Illustrator, and Photoshop


• Responsible for website content development and management, tracking user analytics, setting graphical and style standards for program’s website conforming to grant requirements.
• Develops and designs promotional and informational materials, includes in-house creating of materials where appropriate, supervising hiring and work of contracted creative service companies for outside communications work, working with Office of Publications, keeping inventory of all digital and print materials.
• Manages external and internal communications. Writes brochures and articles for publication, prepares and disseminates information to internal college and University community as well as to relevant state-wide constituents, includes preparing and writing news and publicity releases about program events, managing social media (YouTube, LinkedIn, Twitter) and maintaining listserv, organizing and sending monthly Innovation Review newsletter, and event specific messaging (for webcasts and conferences).
• Budget/grant management including completing purchase requisitions, maintaining files of expense reports, tracking invoices, reconciling grant spending with information provided by budget office. Advises program administration regarding available options and budgetary implications, ensures expenditure control and compliance with funding and reporting requirements, University policy, and standard accounting procedures
• Implementation and administration of software for project tracking and customer relationship management. Maintaining accurate and comprehensive records of contacts and work completed.
• Works with Associate Director on planning, coordinating and implementing special events, including social events, conferences and meetings, securing appropriate conference setting and arranging for auxiliary services, including lodging, meals, and transportation for attendees. Responsible for publicizing and developing materials for conferences and meetings.
• Responsible for hiring and supervising undergraduate communications/office assistants.
