Job Description

The Office of Admissions at Syracuse University is seeking to hire an Administrative Assistant.

The Administrative Assistant will provide overall administrative support to the Deans’ Office, including the prioritization and scheduling of meetings and events, composing/responding to email, and greeting special visitors to the Deans’ Office.

This position will also act as liaison between parents/students, staff and various departments within and outside the University, communicate with constituencies and act as the main point of contact for the Dean. In addition, this position will work in partnership with the other administrative assistant providing budget support and managing applications for the Dean’s review.


• Bachelor’s Degree or equivalent combination of education and experience.

• 4-5 years of administrative, higher education, student services or managerial experience.

• Microsoft Word, Excel, PowerPoint, PeopleSoft

• Strong written, oral and interpersonal communications skills

• Event planning skills

• Attention to detail

• Ability to work as a team-member in a fast-paced professional environment


• Independently prioritize and schedule meetings and events for the Dean of Admissions.

• Prepare agendas and background documentation for the Dean.

• Manage internal/external meetings including scheduling, travel, and logistics.

• Execute special projects as assigned.

• Provide professional support in a highly confidential area using discretion and independent judgment.

• Evaluate and actively resolve problems on own where applicable and redirect or handle phone calls and inquiries at own initiative as appropriate; able to identify goals and priorities and resolve issues in initial stages.

• Provide assistance, as needed, to all members of the Deans’ suite, including the administrative assistant managing the budget and special application processing.

• Compose and prepare the Dean’s external and internal communications, communicate with constituencies and act as the main point of contact for the Dean.

• Responsible for maintaining correspondence records and effective records management to facilitate quick and easy retrieval.

• Work closely with the Dean to keep him/her informed of upcoming commitments and responsibilities, following up as appropriate. -Uses proactive approach to deliverables regarding issues and concerns addressed to the Office.

• Complete all pre and post travel requirements to include expense reports and reconciling pro-cards.
