Job Description

The Budget Administrator position assists the Director of Administration and Finance in the daily financial and administrative operations in the Office of the Vice President for Research with confidentiality, discretion and good judgement. Responsibilities include tracking of funding commitments, expenses and balances; processing and reconciliation of purchase requisitions, travel vouchers, credit card charges, reimbursements, journal entries, MyCode adjustments, and other financial transactions ensuring transactions comply with SU policies. The position inputs payroll time for weekly and semi-monthly employees ensuring compliance with SU policies and procedures and creates and/or runs monthly budget and expense reports as well as ad hoc reports as needed. The position also provides continuity of office operations in the absence of the Director of Administration and Finance and/or Executive Assistant.


• Bachelor’s degree or equivalent combination of education and experience preferred.
• Minimum of 3 years relevant experience in financial and administrative areas required.
• Higher education experience preferred.

Job Specific Qualifications

• Knowledge of University policies, procedures, and computer applications (PeopleSoft, Microsoft Office Suite, especially Excel) as well as the ability to learn new computer applications quickly.
• Attention to detail, strong organizational, analytic and problem solving skills required.
• Ability to prioritize and manage multiple responsibilities.
• Confidentiality, flexibility, and dependability as well as the ability to adjust to changing priorities are critical.


• Assist in the management of financial activity of the Office of Research including recording and tracking of funding commitments and transitioning funding balances to the new fiscal year as appropriate.
• Process and reconcile purchase requisitions, travel vouchers, credit card charges, reimbursements, journal entries, MyCode adjustments, and other financial transactions ensuring compliance with University policies and best practices; analyze and resolve related issues that may arise.
• Create and/or run monthly budget and expense reports as well as ad hoc reports as needed.
• Create and maintain listservs; develop, create, and maintain pivot table spreadsheets, FREVVO and Qualtrics forms. Maintain electronic and paper office files; periodically purging files and/or sending to archives as appropriate. Maintain and order office supplies.
• Provide coverage in the absence of the executive assistant and Director of Administration and Finance.
• Enter weekly and semi-monthly payroll time for the Office of Research, and departments reporting to this office as needed ensuring compliance with University policies and procedures.
• Assist with special projects and other duties as assigned.
